COUNCIL COVID-19 ALERT 2:

ACCOMMODATION FOR ADVISORY COMMITTEE MEETINGS

Temporary accommodations have been implemented to assist institutions as they attempt to schedule and conduct advisory committee meetings.

All notices and documents that pertain to the COVID-19 outbreak are posted on the Council’s website (council.org) on the home page under ‘New and Events’.

  1. CURRENT Criteria for Occupational Advisory Committee Meetings

Among other specifics, Council criteria require occupational advisory committees be comprised of at least 3 members. Two of the three members are required to be physically present for every scheduled advisory committee meeting.

To be clear, each occupational advisory committee must be comprised of at least three members. All three members of the committee must attend each scheduled meeting – two must be physically present and one can be ‘virtually’ present [through teleconference or video conference methods].

Occupational advisory committees must meet at least twice annually with no fewer than three months separating each official meeting.

Institutions must maintain minutes that reflect these members were present – physically and virtually – for each meeting.

TEMPORARY Accommodation: The Council is temporarily waiving its requirement for physical attendance of committee members during scheduled meetings. Institutions are permitted to conduct one of the two required advisory committee meetings for this year via teleconference or video conference methods. Again, the requirement for physical attendance is waived for one of the two required meetings occurring in the 2020 calendar year.  

  1. CURRENT Criteria for Institutional Advisory Committee Meetings

Among other specific requirements, the Council requires that the institutional advisory committee be comprised of no less than three individuals, all of whom are external to the institution. All external members of the committee must attend each scheduled meeting – two must be physically present and one can be ‘virtually’ present [through teleconference or video conference methods].

TEMPORARY Accommodation: The Council is temporarily waiving its requirement for physical attendance of committee members during scheduled meetings. Institutions are permitted to conduct institutional advisory committee meetings for this year via teleconference or video conference methods. Again, the requirement for physical attendance is waived for meetings occurring in the 2020 calendar year.
